Business Organization Tips for Non-Organized People

Just because you own a business doesn’t mean you’re the most organized person in the world.  There are various boxes to check off every day when you’re running a business, and it’s impossible to do so without a plan.  Yet, many people insist on doing it all without a structured plan. Here are a few organization tips for those disorganized individuals who run a business.

1. Budget Your Time

Time management is one of the most important parts of organizing businesses.  Just like you budget your finances, you need to manage your time. There are certain tasks that you need to get through on a single day, and then those that can wait. You need to allot specific time to everything if you’re going to get everything done. 

This isn’t as cut-and-dry as assigning a single hour or half-hour to everything. It’s also not as simple as giving one big task double the time as everything else. A system should be put in place in every business based on previous experience. This will help in timing every single task and set timeframes for different processes. 

Also, you need to cut out wasteful tasks in your business like spending too much time on your phone. You can prohibit certain sites on your network or ask employees to cut their phone time. While this seems like it won’t have a huge effect, every little bit counts.  

2. Prioritize Tasks

A lot of people fail to prioritize their tasks. Even if you have a to-do list or a binder, you will need to prioritize it. For instance, for someone living in an apartment, paying the electric bill is far more important than getting a Netflix subscription. Similarly, when you’re running a business, prioritizing more important projects is essential. For example, if you have a client that pays you regularly, it’s more important to tend to their order. However, a new client that places a much smaller order should be prioritized below on that list. 

Another way to prioritize tasks is to break them up into chunks. These make the tasks much more manageable. It also helps you complete more than a single task at a time. For example, if two separate projects involve the same processes, perhaps you can do both and save time in the future. 

You can also use the Rule of 3 from Chris Bailey’s “The Productivity Project.” It states that having just three items to take care of every day will help you stay focused. Even on days when everything is out of control, this method will help you get the most done. 

3. Eliminate or Mitigate Wasteful Practices

Mitigation/elimination of wasteful practices is essential for an organization. In other words, it’s essential to drop bad habits to get organized. Bad practices will hinder you from achieving maximum efficiency and optimization and proper utilization of all your resources. Hence, they will prevent you from fully utilizing your time and energy for productive purposes. 

These bad practices include not using SOPs, relying on old software, not updating hardware, etc. Relying on old systems can sometimes result in the loss of valuable information. 

Other wasteful practices include spending on luxuries that are not needed for the company. These can include spending on parties or celebrations that have become traditions. If the money simply isn’t there, reviving old traditions shouldn’t be on the budget.

4. Consider Online Business Management

Online business management is essential in today’s world.  Every single organization that hopes to expand and survive in the 21st Century has an online presence.  Brick-and-mortar stores with only a physical presence will find it hard to compete with the growing world of online businesses.  There are things that you can’t simply leave undone to succeed.  These include establishing a visible presence online and exploiting the full potential of search results to improve web traffic.  These only come through some sort of management of your online presence. 

Another great benefit of online business managers is that they will recognize which parts of your business need refining. If you have an outdated method set for an online presence, they will either eliminate or improve it. Such managers can improve your business’s online visibility significantly.  

Online business managers can also build your website and leverage your social media accounts for greater expansion. They will set up a team and allocate resources to expand your presence way beyond what it physically is. 

Hence, one of the best ways to organize your online business for you is to hire an online business manager.  

5. Create Standard Operating Procedures

One of the best ways of organizing businesses is to create standard operating procedures (SOPs). SOPs break down a process to its basic technical steps. With a clear path to follow, employees should have no trouble in performing their day-to-day tasks. Hence, the margin for error, the room for wasteful missteps, and the chances of failure are significantly reduced. 

This way, a record of information is left behind for future employees to emulate so that they learn significantly faster. Also, if any problems are found with the procedure, remedies and updates can be made immediately. In a way, SOPs become a written record of the history and procedures in a company. They can help countless people with their work, improve efficiency, and save time. Hence creating SOPs is a great way to organize work in small businesses. 

Using these tips will help you stay organized when it comes to budgeting and resource allocation. If you follow through with them, you can improve the way your business functions. With these tips, you and your employees can maximize efficiency.
