Teleworking Tips for Your Workforce During Coronavirus

During the coronavirus pandemic, teleworking has become a necessity, not just an option.  The workforce across the world have resigned themselves to quarantine.   In this situation, those who can afford to are working from home.  If such measures are being imposed in your city or country as well, you need to make sure that you can work from home without any hitches.  If you’re a business owner, here are some workforce coronavirus teleworking tips to make sure that your workers can work from home as well.

There are a lot of things to consider here, including the delivery of assignments, meeting deadlines, etc.  Most importantly, the issue of security is key, which will prevent your business’ data from being compromised. 

Here are a few tips for preparing your workforce to work from home. 

Implement Proper Infrastructure 

The Centers for Disease Control and Prevention (CDC) advises that you have information technology infrastructure available to help your workforce with teleworking tips during the Coronavirus.  This infrastructure should support multiple employees that want to telework. 

The first step is to check that your employees have internet access at their homes.  Do not just assume that your employees do; ask them directly.  Next, you should also make an inventory of the equipment needed to work from home.  If your employees need proper headsets, scanners, or other material, it’s your job to provide them with these essentials.  You should also ask them if they have fully functioning desktops or laptops at home. 

You should also make it a point to digitize any materials that will make working from home more accessible.  For example, any documents that contain guidelines for working from home should be available online.  Also, establish those guidelines if you haven’t already.  Make sure that your employees follow the security protocols that they need to.  For instance, if they need to use a VPN or a specific IP, let them know. 

You should also suggest any tools or programs that need to be installed at your employees’ homes so that they may utilize them. These can include cloud-based tools, online calling programs, design programs, etc.  

Prioritize Security  

Security should be prioritized at both ends.  Your business should make sure that your cloud service secures all servers and traffic going through them.  Also, you should make sure that your employees can access work through secure servers.  Not to say they should have military-grade encryption on their devices, of course.  It’s only to say that they should use trusted sites and software and should have reputed antivirus software installed.  Doing this mitigates the possibility of a virus or malware creeping into their work files. 

You should also limit access to employees.  In other words, they should only be able to access work pertaining to them.  If you have the right cloud tools in place, you can make application gateways, which will only allow specific IP addresses to access certain pages.  Make sure that all the employees have login details to access their side of the work projects.  All these things will help your workforce while teleworking from home during coronavirus. 

Communication is Key 

During this time of social distancing and isolation, it’s essential to remain connected to each other via technology.  Not only will this help to maintain one’s own sanity, but to streamline the workflow.  You need to keep advising  your team and establish clear communication channels so that everyone can reach out to each other. 

You can set up a centralized group on WhatsApp, use a private email server,  or some other mode of communication for this purpose.  Other than that, you can use Slack or any other work management software.  Access to this tool will relay necessary  information to your employees every day so that they can get started on their assignments without the need to speak to anyone. 

This, along with regular check-in with your employees, which will ensure that they’re on target to hit their goals.  You can have smaller meetings with your employees via Skype so that important matters can be discussed. 

The challenges that might come up in an office may not come up at home for your employees.  However, some issues working from home can bring.  For one, there are more distractions at home, so maintaining focus is harder.  The other thing that needs to be acknowledged is the wiggle room. 

Not everyone is going to work in the same capacity.  Employees will work on their own hours from home.  So those schedules need to be established early on.  All of this should be addressed through clear and open communication. 

Finally, there should be a plan to support employee wellness and breaks.  Workers should be encouraged to take breaks and not bury themselves in work during these tough times.  Not only does this isolate them from their families, but it also brings about a feeling of loneliness. 

Hence, encourage your team members to take small breaks in between their tasks.  All of this will help them stay productive and sane during the quarantine. 

Following these broad tips can help your organization cope with the coronavirus situation.  But, you need to understand that these guidelines are not for those that don’t have a choice but to go to work, such as construction workers.  They can’t do their work online that they’re supposed to in person. 

However, if you do fall into the lucky category of owning a business that can function without an office, these Coronavirus workforce teleworking tips will come in handy as well.
